Confirm the estimate is still open and look for a response or changed circumstances.

Choose the timing.

Use the customer’s expectations and the nature of the work to choose a suitable delay.

Make replying easy.

Name the job, ask a specific question, and provide a clear way to respond.

A simple message to adapt.

“Hi [name], I’m following up on the estimate for [work]. Do you have any questions about the scope or timing? Reply here and I’ll help with the next step.” Replace the placeholders and check the recipient before sending.

Avoid treating every estimate the same.

An urgent repair and a future project have different expectations. If the customer asked for time or already answered, use that context rather than continuing the same reminder sequence.

Set a stopping point.

Stop or adjust follow-up when the customer declines, the work changes status, or the message is no longer useful. Respect requests not to receive further messages.

Turn a routine into a rule.
